ORAL AND POSTER PRESENTATIONS

The official language of the IHC 2010 is English and no translation services are available. English must be used in all oral and poster presentations and manuscript submission.


ORAL PRESENTATIONS

Oral presentations, except for invited and keynote speakers, are limited to 15 minutes. Presenting authors are requested to plan their presentations for a maximum of 12 minutes in order to allow sufficient time for discussion.

Only PowerPoint presentations (Windows or Mac) are accepted. The uploading of DVD movies is NOT supported by our system.
No slide or overhead projectors will be available in the conference rooms and it will not be possible to use personal laptops.

We recommend using ".gif" and ".jpg" formats for images. Other types of extension will be accepted, provided that they are recognised by PowerPoint. MPEG2 is the preferred format for embedded movies, but *.avi, *.wmv are also accepted. If codecs are used, the code package DIVx in the current version should be chosen. This can be found at www.divx.com. Confirm that all needed files are in the SAME FOLDER as your presentation.
Use large fonts (the minimum font size should be 18 points). If you cannot fit all your subjects on a slide without moving to a smaller font, break the points up onto separate slides. Sans serif fonts are recommended.

The use of CD-Rom’s, USB pens or memory sticks is advisable to download presentations easily at the AV Preview Centre. Please check your presentation carefully on the Preview Room computer assigned by the staff before the final sign off.
The PowerPoint files with the presentations must be delivered to the AV Preview Centre the day before the scheduled time for presentation. Only in case of force majeure files will be accepted the same day at least 2 hours before the beginning of the session. These timings will allow your presentation to be downloaded onto the main computer. No presentation files will be accepted in the conference rooms.

If you have more than one oral presentation during the Congress, you may upload all your presentations at the same time and they will be sent to the corresponding meeting room at the time of your session.



E-POSTERS: AN INTERACTIVE FORM OF COMMUNICATION

E-posters (electronic posters) are the new tool for scientific presentations during the Congress. Participants will be delighted to use e-posters for short-oral presentations or for extending presentation visibility beyond the duration of the IHC 2010.


An e-poster is visually similar to a printed poster but can be used for: (i) on-screen presentation and (ii) on-line interaction.

(i) Authors of posters selected for a short-oral presentation must use an e-poster during the presentation. The poster PowerPoint version is converted to Flash format to produce the so-called e-poster, which is appropriate for on-screen projection. During the presentation it is possible to scroll and to zoom any part of the poster for making tables and pictures easily visible

(ii) All e-posters will be posted on the IHC Webpage and made available to the scientific community. Website visitors can scroll and zoom any part of the poster to see tables and pictures in detail. Besides poster visitors can leave messages and comments to the authors, who will receive the messages automatically by e-mail.


Congress participants can visit e-posters on-line using computers in the poster hall or the Internet.

E-posters are available to all poster authors but a printed version is obligatory.

E-posters will guarantee high visibility to the research work and make posters last after the Congress. Authors that were not selected for poster short-oral presentation should not miss this opportunity and are strongly encouraged to up-load an e-poster. However all posters must have a printed version displayed on the poster boards and the authors should be present during poster sessions.

Please do not confuse up-loading posters to produce an e-poster with up-loading posters for local poster printing. The up-loading process is similar but the objective is different. E-poster service is free of charge. Local poster printing is charged at EUR 25.00 per printing.


Poster authors have the following opportunities:
• Up-loading the poster and producing an e-poster for a short-oral presentation (free of charge but by invitation only);
• Up-loading the poster and producing an e-poster to be accessible on the IHC Website (free of charge and available to all poster authors);
• Up-loading the poster to be printed on-site in order to avoid carrying it from home (EUR 25.00 per printing)
• Displaying a printed version of the poster on the poster boards during the Congress (requested to all posters independently of other forms of presentation)


How to prepare an e-poster Step 1: Poster preparation
Prepare a poster using PowerPoint or similar software. You can use the same file for the printed version. We recommend using high resolution photos and figures for a better quality of the e-poster when zooming in.

Step 2: Congress Registration
Register for the Congress and pay the registration fee to receive an abstract validation code

Step 3: Abstract Validation
Validate the abstract of your poster following abstract validation instructions

Step 4: Poster up-loading (Deadline: 30 June, 2010)
Go to www.ihc2010.org and enter your login codes (Username: XXXX and Password: XXX). Select e-poster up-loading and follow on-line instructions. Once you have successfully completed steps 1, 2, 3 & 4 your e-poster has been validated and will be available on-line. Congratulations!



POSTER PRESENTATION

Poster presentations are encouraged as they will be a major form of scientific communication at the Congress. Posters will be on display two days only and will be discussed during specific poster sessions. At least one of the authors is requested to be by the poster during the assigned discussion timing.

Poster sessions 1 and 2. On display Monday 23 and Tuesday 24.
Assemblage: Monday 23 from 8.00h to 10.30h.
Dismantling: Tuesday 24 from 16.00h to 18.00h.

Poster sessions 3 and 4. On display Wednesday 25 and Thursday 26.
Assemblage: Wednesday 25 from 8.00h to 10.30h.
Dismantling: Thursday 24 from 16.00h to 18.00h.

Posters left by the authors on the poster boards after the deadline for dismantling will be removed by the organisation.

On-site printed posters will be assembled by the IHC organisation.

Format: Portrait; Maximum size: 90 x 110 cm. Display boards and fixing materials will be provided.



ON-SITE POSTER PRINTING

The IHC Secretariat provides on-site poster printing service so that participants do not need to carry the posters all way from home. In order use the on-site poster printing service follow the procedure:
    1. Wait for the e-mail confirmation saying that your abstract was accepted as poster;
    2. Register for the Congress and check the button “On-site poster printing” on the on-line registration form. Then pay the amount due together with your IHC registration fee.
    3. Validate the abstract using the validation code received upon registration.
    4. Up-load the poster file on the IHC website according the instructions provided.
    5. Wait for a confirmation e-mail saying that your poster is waiting for you upon arrival at Lisbon.

Deadline for file up-loading: 10 August 2010. The printing service is only available on-line. We do not accept poster files for printing at the IHC registration desk.

Submitting files: Posters must be uploaded on a PowerPoint master file (.ppt or .pptx) together with an AdobeAcrobat version (.pdf)
Posters will be printed from the PowerPoint file. The .pdf version will be only used in case of formatting problems during printing.

Printing quality: Posters will be printed on HP 180grs paper finished with film gloss 32mic.

Price: €25.00 per poster

ABSTRACT ACCEPTANCE AND VALIDATION

The final decision regarding abstract acceptance and form of presentation (oral or poster) will be communicated to the corresponding author by 31 March 2010.
The preference for oral or poster presentation specified by the authors at submission is indicative only. The final decision about the type of presentation is taken by the conveners in collaboration with the scientific committee and depends on abstract fittingness into the Programme.

Abstracts will be organised in symposia and seminars. Abstracts dealing with topics that do not fit into any symposium or seminar will be gathered a posteriori for oral or poster presentation in thematic sessions. Workshops are unsuitable for abstract submission and presentation.

A registered participant is permitted no more than two presentations (oral or poster) in the Congress Programme as presenting author. Authors will be asked to validate abstracts that have been submitted and accepted. Only validated abstracts will be printed in the Congress Book of Abstracts.
The presenting author must be registered and fully paid up in order to receive the abstract validation code. One code can validate up to two abstracts.


MANUSCRIPT SUBMISSION FOR ACTA HORTICULTURAE

Oral presenters, including invited and keynote speakers, should submit a manuscript for Acta Horticulturae.

Authors of posters are welcome to submit manuscripts for Acta Horticulturae but posters cannot be accepted for publication in PowerPoint format. Each symposium and related seminars and thematic sessions will have a specific issue of Acta Horticulturae. Symposium conveners together with the scientific committee have the responsibility for manuscript acceptance and reviewing.

Manuscripts must not exceed 8 pages including all tables, figures, and references except for invited and keynote speakers. We strongly recommend authors to read the ISHS Authors Guide - Preparing a Paper for publication in Acta Horticulturae® at the ISHS webpage: http://www.ishs.org/wri/pap1.htm. This will make the preparation and submission of manuscripts much easier and avoid misunderstandings at submission.

Manuscripts will be subjected to a double-blind review. We encourage all non-native English speakers to submit their manuscript for language check before submission. Submissions that do not meet the guidelines will be returned to authors.

Manuscripts must be submitted electronically in a Word file. To ensure accurate reproduction of graphs or pictures authors should also provide the electronic files with the original images that were pasted into the Word document.

Manuscripts can be submitted:
    - By e-mail to info@ihc2010.org. Please indicate in the file name the first author’s name and abstract ID number for easier identification.
    - Delivered at the IHC registration desk during the Congress on a pen drive together with a printed version of the manuscript. The electronic file will be recorded and the pen returned to the author.


Deadline for submitting manuscripts to Acta Horticulturae is 27 August 2010.
